What is the scope of this policy?

This policy applies to all personal information collected, used or disclosed in the course of our business or while browsing our website.

However, this policy does not apply to services offered by third parties, even if they are accessible through our website, in particular, social networks. We suggest that you review the privacy practices of these third parties to determine whether you wish to use them.

This policy does not apply to the processing of our employees’ personal information. A separate document exists for this purpose.

Cookies enable our website to collect and store certain information about you, such as your preferences, and also enable third parties such as Youtube and LinkedIn to carry out targeted marketing based on your interests. For what purposes do we collect personal information?

We collect personal information in connection with our fundraising activities, our scholarship program, to administer our Web site, to offer a newsletter and to organize certain events, all as specified in the table below. Thus, we obtain personal information from our donors, partners, or directly from you. Where you consent to the processing of your personal information, you may withdraw that consent at any time, including by contacting Luc Charpentier, our Privacy Officer, by email at direction@fcud.ca. For digital communications, you can also do this by using the unsubscribe function in the communications.

Also, as part of our digital advertising activities, we use marketing cookies to track your activities in order to serve you digital advertising tailored to your tastes, or in other words, to conduct targeting activities.

With whom do we share your personal information?

We share your personal information with our service providers. We have contracts with our service providers that specify how they must handle your personal information. The table below lists the categories of third parties with whom we share your personal information.

The Dominican University College Foundation grants access to your personal information only to those employees who need it to perform their duties. Our employees, board members and subcontractors must sign a confidentiality agreement before having access to personal information.

We strive to host data in Canada, and whenever possible, in Quebec. However, with the globalization of trade and the growing use of new technologies, particularly those linked to the development of cloud-based solutions, data may be transferred or transmitted to recipients outside Canada.

How do we protect your personal information?

The personal information we collect is stored in secure environments.
The Dominican University College Foundation strives to adopt reasonable physical, administrative and organizational measures to protect personal information, including : 

  • Grant access to personal information as needed
  • Minimize computer privileges granted to the minimum required for an employee’s function
  • Implementation of a confidentiality agreement with our employees
  • Privacy training for employees
  • Use technical and operational safety measures, such as :
    • Network monitoring
    • Implementation of a backup protocol,
    • Use of firewalls and antivirus software
    • Strong password policy and use of secure software solutions for access management and sharing
    • Multi-factor authentication (MFA) to connect to cloud platforms
    • Use of SSL(Secure Sockets Layer) protocol
    • Encrypt multiple storage spaces,
    • Periodic review of privacy protection measures

How long do we keep your personal information?

We retain your personal information for as long as necessary to fulfill the purpose for which it was collected, or longer if required by law. We keep your personal information, unless you tell us otherwise, if you have made a donation in the last 6 years or participated in one of our activities (e.g.: purchased tickets.) After 6 years of inactivity, we will anonymize or delete your file.

What are your rights regarding your personal information?

Depending on the circumstances, you may be granted various rights with respect to your personal information, including the right to modify it, to have access to it, or to withdraw your consent. Visit the Commission d’accès à l’information (CAI) website for more information. Different fees may apply if you are located outside Quebec.

How can you exercise your rights?

You may exercise your rights at any time by contacting our Privacy Officer, or by using the technical features made available to you, if applicable.

We may require additional personal information to validate your identity. If we cannot accept your request, we will inform you of the reason for refusal. If you do not agree with our decision, you can contact our Privacy Officer again, and we will review your request. Otherwise, you may exercise your rights with the Commission d’accès à l’information, or the authority responsible in your jurisdiction, if you are outside Quebec.

Can we change this policy?

Yes, we may update this policy from time to time, including to reflect changes in our handling of personal information. In the event of a substantial change, we will try to notify you as soon as possible, especially if you have subscribed to our newsletter.
